What This Does

Outlook's Copilot AI can draft complete professional email responses based on the context of your inbox thread. For contracts administrators, this means faster vendor correspondence, especially for the routine but high-stakes communications that need to be precise and professionally worded.

Before You Start

  • You have Microsoft Outlook (desktop or web at outlook.office.com)
  • You have a Microsoft 365 Business subscription with Copilot enabled
  • Time needed: 5–10 minutes per email
  • Cost: Microsoft 365 Business Basic ($6/user/mo) includes Outlook; Copilot for Microsoft 365 is an add-on ($30/user/mo)

Note: If your organization doesn't have Copilot, you can still use ChatGPT or Claude to draft emails, then paste them into Outlook. The workflow is nearly identical: copy from the AI chat and paste into a new email.

Steps

1. Open the email you need to respond to

Open any vendor email in Outlook: a question about contract terms, a status inquiry, an insurance certificate issue, or anything that needs a formal response.

2. Find the Copilot Draft button

In the email compose window, look for the Copilot icon (sparkle symbol) in the ribbon or at the bottom of the compose area. Click it and select Draft with Copilot.

What you should see: A prompt box where you describe the email you want to send.

3. Describe the email you need

Type a brief description of what you want to communicate:

"Draft a response acknowledging their question about the payment schedule. Confirm that per Section 8.2 of our agreement, invoices are due net 30 from receipt of compliant invoice. Ask them to resubmit their invoice with the correct purchase order number. Professional and helpful tone."

What you should see: A complete draft email appears in the compose window.

4. Review, edit, and send

Read the draft carefully. Verify:

  • All contract references are accurate (AI may hallucinate specific clause numbers; confirm these yourself)
  • The tone matches the situation
  • All required information is included

Edit as needed, then send.

Real Example

Scenario: A vendor has emailed asking why their invoice hasn't been paid. You know it was rejected because it referenced the wrong contract number. You need to respond promptly but professionally.

What you type in Copilot: "Draft a response explaining that their invoice #[number] was not processed because it referenced the incorrect contract number. Provide the correct contract number: [number]. Request they resubmit with the correct reference. Provide a 5-business-day processing timeline once received. Professional and collaborative tone."

What you get: A complete, professionally worded email you can send with minor edits. What would have taken 20 minutes to carefully draft takes 5 minutes.

Tips

  • Always verify specific contract references, dates, and numbers. Copilot drafts from your description, not the actual contract database.
  • For sensitive communications (notices of default, terminations, dispute-related messages), use AI as a starting point only and have legal review before sending.
  • If you're sending the same type of email repeatedly (e.g., missing insurance certificate notices), create a saved prompt in your notes so you can paste it into Copilot each time.

Tool interfaces change. If a button has moved, look for similar AI/magic/smart options in the same menu area.
