What you'll accomplish
By the end of this guide, you'll have a searchable Notion workspace that stores your team's contract knowledge — precedent decisions, clause explanations, vendor history, and process notes — with Notion AI ready to answer questions like "have we dealt with this limitation of liability approach before?" and "what's our standard position on IP ownership?"
This solves the institutional memory problem: when experienced staff leave, their knowledge usually leaves with them. This system captures and makes it searchable.
What you'll need
Go to notion.so and sign up for a free account. If your team plans to share this workspace, each user needs an account.
Upgrade to Plus ($8/month) to get Notion AI features. You can also add AI to a free workspace for an additional $8/month per user.
What you should see: Your Notion dashboard with a blank workspace.
In Notion's sidebar, click + New Page and name it "Contract Knowledge Base."
Inside that page, create the following sub-pages (click + Add a page):
Inside the Clause Library page, create a database (click / → Database → Table).
Add these columns:
Start populating with your 5–10 most commonly used clause types. Even rough notes are better than nothing.
What you should see: A searchable table of clause positions you can filter and sort.
Press Space in any Notion page, or type /AI to open the AI menu.
Try:
"Summarize this clause in plain English for a non-lawyer: [paste clause text]"
Or use AI to help build your knowledge base:
"Based on these notes, write a structured entry for our Clause Library about limitation of liability caps: [paste your notes]"
What you should see: Notion AI drafts structured, formatted content in the Notion page.
Go to the Vendor History page. Create a simple database with columns: Vendor Name, Contract Type, Key Terms Negotiated, Red Flags, Outcome, Date.
Add entries for the last 3–5 contracts you've completed. Even brief notes are valuable. Use Notion AI to help:
"Based on these contract notes, write a vendor history summary for [Vendor Name]: [paste your notes]"
Once you have content, test Notion AI's search capabilities.
Click anywhere in your workspace and ask Notion AI:
"What has been our organization's standard position on IP ownership in technology contracts?"
"Do we have any notes on past negotiations with [Vendor Name]?"
"What clause language do we use for termination for convenience in service contracts?"
What you should see: Answers drawn from your actual Notion database, not generic AI responses.
Clause summary:
"Summarize our standard position on [clause type] based on our Clause Library entries."
Vendor research:
"What do we know about [Vendor Name] based on our Vendor History database?"
Process help:
"What are the steps for contract closeout based on our Process Guides?"
Draft a knowledge base entry:
"Based on these notes, write a structured Clause Library entry for [clause type]: [paste notes]"
